How to Use AI to Summarize a Document

Turn a short document into a useful checklist. You’ll give AI a clear task, check the important details and ask for one improvement.

No purchase or email needed.

You’ll need an AI chat tool that accepts text. Copying and pasting is enough—no file upload is required.

1. Start with this short document

Imagine you’re helping organize a workshop. You need to find a suitable room.

Practice document: a houseplant-care workshop

The workshop will have 12 attendees and one facilitator. The room is needed for two hours, with a total room-hire budget of $90.

A step-free entrance and an included screen are required. A quiet room would be helpful.

No event date has been agreed. Availability and cancellation terms are unknown.

This is a fictional example. You can practice without sharing personal information.

2. Ask for what you actually need

A general summary might miss details you need to make a decision. Tell AI what to look for and how to organize the answer.

Copy the document above into your AI chat, then add:

Copy and use this prompt
Turn this brief into a room-booking checklist.

Use these headings:
- Requirements
- Preferences
- Information still to confirm

Include the total number of people, duration and total budget.
Use only the information in the brief. If something is unknown,
say so rather than guessing.

3. Check the important details

Compare the answer with the original document. Does it get these right?

  • 13 people: 12 attendees plus the facilitator.
  • Two hours: the full room-hire duration.
  • $90 total: not $90 per hour.
  • Required: step-free entrance and an included screen.
  • Preferred: a quiet room.
  • Unknown: event date, availability and cancellation terms.

A confident answer can still contain mistakes. Check names, numbers and requirements before using it.

Requirements

  • Space for 13 people
  • Room hire for two hours
  • Total room-hire cost no more than $90

  • Included screen

Preferences

  • Quiet room

Still to confirm

  • Event date
  • Room availability
  • Venue price and whether it meets the requirements
  • Cancellation terms

This is a human-written answer key. Your AI tool may organize the same information differently.

4. Turn the checklist into your next action

Keep the same conversation open and ask:

Follow-up prompt
Write three short questions I can send to a venue.

Ask about:
1. Available dates for a two-hour workshop with 13 people.
2. Whether the total room cost fits our $90 budget and includes
a screen and step-free access. Also ask whether the room is quiet.
3. Cancellation terms.

Do not imply that a date or booking has already been agreed.

Read the questions before sending them. They should help you gather missing information—not invent answers.

Common mistakes to watch for

Counting only the attendees

The facilitator needs space too. The room must accommodate 13 people.

Turning the total budget into an hourly rate

The budget is $90 for the entire two-hour booking.

Treating a preference as a requirement

Quietness would be helpful. Step-free access and a screen are essential.

Filling in missing details

An event date or cancellation policy that wasn’t in the brief still needs confirming.

If the answer gets something wrong, try:

Check your answer against the original brief.
Correct any unsupported assumptions or incorrect numbers.

A simple habit you can reuse

Give context → ask for a useful format → check the details → request one improvement.

Try this with a meeting note, event brief or a set of instructions. Start with fictional or non-sensitive information.

A few questions before you try

Do I need a paid AI account?

This exercise uses text input only. Check your chosen tool’s current access requirements and usage limits; a paid feature isn’t part of the exercise.

What if my answer looks different?

Different wording is fine. Check whether the important facts are correct and unknown information stays unknown.

Can I use my own document?

Yes. Start with something short and remove private or confidential information before sharing it with an external tool.
