AI can help explain unfamiliar wording and locate details in a document. The useful habit is to ask for both the explanation and the passage that supports it.
Start with a short section. Ask what it says, what it does not say and what you still need to clarify. Keep the original open so you can compare the answer with it.
This guide uses a fictional equipment-loan notice. You can complete the exercise by pasting text into ChatGPT; uploading a PDF is optional.
What you need
- Access to a text conversation in ChatGPT or a similar AI assistant.
- A document you are allowed to share, or the fictional example below.
- The original wording to check against the answer.
For work documents, follow your organization's rules before putting information into an external tool. You do not need a private document for this practice.
1. Supply a short, complete passage
Here is our fictional source document:
RIVERSIDE CAMERA CLUB
Equipment borrowing note — fictional practice document
A. Requests
Active members may request one tripod or two LED lamps.
Requests are subject to availability. A loan is confirmed only
when the equipment coordinator replies with confirmation.
B. Collection
Collection is by arrangement on Saturdays between 10 a.m. and
noon in the club room. Do not arrive without a confirmed
collection time.
C. Returns
Loans last up to seven days. The exact return time is included
in the confirmation. An extension requires written approval
before the original return time.
D. Equipment care
A carrying case is included. Batteries are not supplied.
Report any equipment problem to the coordinator before the
next club session. The labels A–D make it easier to locate supporting evidence. You can use real headings or paragraph numbers in the same way.
2. Ask for an explanation that stays within the source
Copy this prompt, then paste the fictional notice underneath it:
Help me understand the document below. Use only its contents.
1. Explain "subject to availability," "by arrangement" and
"up to seven days" in plain English.
2. List what I need to confirm before collecting equipment.
3. For each answer, give the section letter and a short
supporting quote.
4. Separate stated facts from interpretations.
5. If something is missing, write "not specified."
Do not fill gaps using typical club practices.
DOCUMENT:
[paste the complete equipment borrowing note]You are asking for an explanation of this particular document, rather than general advice about how clubs usually operate.
See how to give AI useful context.
3. Compare the explanation with the wording
Here is an illustrative reading of the notice:
| Wording or question | Plain-English reading | Support and limit |
|---|---|---|
| “Subject to availability” | A request does not guarantee that equipment will be available. | Section A; confirmation is still required. |
| “By arrangement” | Agree a collection time before arriving. | Section B says not to arrive without a confirmed time. |
| “Up to seven days” | A loan can be shorter than seven days. | Section C gives a maximum; the exact return time comes in the confirmation. |
| Can I keep the tripod for longer? | Only if you receive written approval before the original return time. | Section C; approval is not automatic. |
| Are batteries included? | No. | Section D says they are not supplied. |
| When is the next club session? | Not specified. | Section D mentions it but gives no schedule. |
This table is an illustrative explanation, not an output from a recorded AI run.
A useful answer preserves the conditions. “You can borrow a tripod for seven days” loses two important points: the loan needs confirmation, and its duration may be shorter.
4. Investigate one confusing sentence
Ask a focused follow-up instead of requesting another whole summary:
Does "up to seven days" mean I should always return the item
exactly seven days after collection?
Show the wording that answers this. Explain what I need to
confirm instead of assuming a date. The notice says the exact return time appears in the confirmation. It does not provide enough information to calculate your actual deadline.
Another useful question is:
What do I need to ask the coordinator because the notice does
not tell me? Keep the questions separate from the document's rules. For example, you may need a contact method or the time of the next session. Neither is supplied.
5. Catch assumptions disguised as facts
Suppose an explanation says:
You can collect the tripod any Saturday morning and extend the loan if nobody else needs it.
That sounds plausible, but the document does not say it.
The collection time must be confirmed. An extension needs written approval. “If nobody else needs it” has been added.
Use a correction like this:
Check your answer against sections B and C.
Identify any statement that is not supported by those sections.
Revise the answer without adding usual practice or assumptions.Check any quoted evidence too. If a sentence quoted by the AI does not appear in the source, do not use it as support.
Using a PDF instead of pasted text
If your AI account offers file attachments, you can attach the PDF and ask about a named section or passage. File access and usage limits depend on the tool and account.
Begin by asking it to identify the heading and quote a short passage you can locate. That helps you check whether it has actually read the relevant material.
If it cannot read the file, or the text is unclear, paste a short readable extract instead. A scanned page may contain pictures of words rather than selectable text; do not assume every tool will interpret it correctly.
For a long document, include the relevant definitions and exceptions as well as the sentence you are asking about. A paragraph taken out of context can give a misleading impression.
Common mistakes
Requesting only “summarize this.” You may get a neat overview that omits the condition you needed. Ask the specific question.
Confusing “not mentioned” with “not allowed.” If Sunday collection is not described, the document alone does not establish whether an exception is possible.
Accepting an answer because it includes quotes. Check that the words are present and that the quote supports the interpretation.
Letting outside information replace the document. Typical policies from other organizations do not establish this club's rules.
Expecting AI to resolve genuine ambiguity. Sometimes the useful result is a precise question for the person who issued the document.
