ChatGPT can help you turn a frustrating problem into a clear complaint letter. Give it the facts, say what you would like the shop to do and check the finished draft before sending it.

You do not need strong language or legal phrases to explain an ordinary problem. A useful letter makes it easy to understand what happened and what response you are asking for.

Start with facts you can support

For a real complaint, gather the order reference, a short description of the problem and any relevant correspondence. Keep dates, amounts and promises exactly as your records show them.

You can leave your name, address and other identifying details out of the AI conversation and add them to the finished letter yourself.

Here is the fictional example we will use:

DetailInformation available
ProductA blue desk lamp
Order referenceEXAMPLE-123
ProblemThe lamp shade arrived cracked
What you have doneTaken a photograph of the damage
Requested outcomeAsk the shop to arrange a replacement
Not suppliedDelivery date, shop policy, return instructions and response deadline

We are asking for a replacement. We are not claiming that the shop has already agreed to one or that compensation is guaranteed.

1. Ask for a complete draft

Open a conversation in ChatGPT, paste the following prompt and send it:

Try this prompt
Draft a calm, clear complaint email to a shop using only these fictional facts:

- I ordered a blue desk lamp.
- The order reference is EXAMPLE-123.
- The lamp shade arrived cracked.
- I have taken a photograph of the damage.
- I would like to ask for a replacement.

Include a useful subject line and ask what I should do next.
Ask the shop to explain whether it needs the damaged item returned and, if so, how.

Do not invent dates, shop policies, previous conversations, legal rights, deadlines or promises.
Do not say a photograph is attached.
Leave a placeholder for my name.

Asking about return instructions avoids guessing what the shop expects. Asking for a subject line makes the result easier to use as an email.

2. Compare it with a factual example

Here is an illustrative letter based on the supplied facts:

Subject: Replacement request for damaged lamp — order EXAMPLE-123

Hello,

I am writing about the blue desk lamp in order EXAMPLE-123. The lamp shade arrived cracked, and I would like to ask you to arrange a replacement.

I have taken a photograph of the damage and can provide it if needed.

Please let me know what information you require and what I should do next. If the damaged lamp needs to be returned, please explain how to arrange this.

Thank you for your help.

Kind regards,

[Your name]

This is a teaching example, not a recorded response from a ChatGPT test.

Notice what it does not contain: an invented delivery date, a claim that a photograph is attached or an unsupported statement about a legal entitlement.

3. Refine the tone without changing the facts

If the draft feels too soft, make the request more direct:

Try this prompt
Make the request more direct while remaining polite.
Keep the supplied facts unchanged.
Do not add a response deadline, threats or legal claims.

For example, “I would like to ask you to arrange a replacement” could become “Please arrange a replacement and let me know the next steps.”

If it feels overly formal:

Try this prompt
Use simpler, more natural language.
Keep the order reference, the damage and the replacement request.
Avoid phrases such as "I hereby" and "at your earliest convenience."

For an online contact form with limited space:

Turn this into a short message for a customer-support form.
Keep the order reference, what went wrong, what I want and the request for next steps.

The best version is the one that clearly represents your situation. It does not need to sound as if a lawyer wrote it.

4. Check the details before sending

Read the letter alongside your records.

  • Product and reference: do they match your order?
  • Problem: does it describe what you actually observed?
  • Evidence: does it claim an attachment or earlier conversation that is not there?
  • Request: is it asking for the outcome you want?
  • Promises and deadlines: did any appear that you did not supply?
  • Personal details: have you replaced the name placeholder where necessary?

If you attach a photograph yourself, you can then change “can provide it if needed” to “I have attached a photograph of the damage.”

Use the shop's published support channel or the contact details in your genuine order confirmation. Keep a copy of what you send.

5. Handle a reply with the same method

If the shop responds, you can ask ChatGPT to help you understand or draft a reply. Remove identifying details first, and include only the relevant part of the exchange.

Try this prompt
Help me draft a reply to this shop response.

My goal: [what I want to clarify or request]
Shop response: [paste the relevant wording]

Separate what the shop has agreed to from what is still unclear.
Draft a short reply asking about the unresolved points.
Do not invent agreement, policies or promises.

If the shop says it will “review the request,” that is not the same as approving a replacement. Keep that distinction in the reply.

Learn to separate written terms from assumptions.

Common mistakes

Adding anger instead of useful detail. Describe the damaged item and requested outcome before adding a long account of your frustration.

Letting AI invent a history. Delete statements such as “despite my repeated calls” unless those calls actually happened.

Sending a draft you have not read. Even a well-written letter can contain the wrong product name or request.

Treating a generated legal statement as fact. This guide helps with writing. If the dispute requires advice about rights or formal deadlines, check a current official source for your location.

Assuming a letter guarantees a result. A clear request helps the shop assess the problem; its response is not under ChatGPT's control.
